Indiana Region CCCA policies and guidelines (INRCCCA)

 

 

These policies are intended to support a welcoming, safe, and well run club experience for the Indiana Region of the Classic Car Club of America (the region serves Indiana plus portions of northeastern Kentucky and southwestern Ohio).

 

 

Purpose and values

 

 

Preserve, enjoy, and share the history, design, engineering, and craftsmanship of Classic era automobiles through driving tours, social gatherings, and judged events.

 

Promote Hoosier hospitality. Be helpful, respectful, and inclusive to members, guests, venues, volunteers, and the public.

 

 

Membership eligibility

 

 

You do not have to own a Classic to join. Enthusiasts and future owners are welcome.

 

National CCCA membership is required for Indiana Region membership.

 

Membership levels may include active and associate options as offered by the club and CCCA.

 

 

Dues and good standing

 

 

Dues must be current to be considered a member in good standing and to access member-only benefits, including member-only digital content when offered.

 

Members are responsible for keeping their contact information accurate for communications, event updates, and publications.

 

 

Member expectations

 

 

Treat everyone with respect. No harassment, discrimination, threats, or repeated disruptive behavior.

 

Be a good ambassador for the club and the CCCA at public events, tours, and concours.

 

Follow all venue rules and staff directions, including parking, speed limits, and restricted areas.

 

If alcohol is served, drink responsibly and never drive impaired.

 

 

Guest policy

 

 

Guests are welcome at many events unless an event is designated members-only.

 

Members are responsible for the behavior of their guests and ensuring guests follow event and venue rules.

 

Some events have limited capacity, so guests must be included in registration totals.

 

 

Event registration and attendance

 

 

Registration is required when an event listing indicates it, especially when capacity is limited.

 

If an event specifies a register-by date, registrations after the deadline may not be accepted.

 

When an event has limited capacity, once the limit is reached the club may close registration.

 

Register the correct number of attendees in your party so the club can plan food, seating, and access.

 

When an event fills, the club may keep a waitlist and offer openings in order as space becomes available.

 

 

Cancellations, refunds, and no-shows

 

 

Cancel as early as possible so a waitlisted member can attend and the club can adjust commitments.

 

Refunds, if any, depend on venue obligations and ticketing terms. When the club has prepaid commitments such as meals, rooms, or deposits, refunds may be limited after a published deadline.

 

Repeated no-shows for limited-capacity events may result in reduced priority for future registrations at the board’s discretion.

 

 

Driving tours and on-road safety

 

 

Every driver is responsible for operating legally and safely.

 

Follow the route plan, meeting times, and instructions from tour leaders.

 

Maintain safe following distances and avoid aggressive driving, passing in groups, or blocking traffic.

 

Ensure your vehicle is roadworthy before departure. Check tires, brakes, lights, fuel, and cooling.

 

Use hazard lights only when appropriate and legal.

 

If separated, do not speed to catch up. Follow the route and regroup at the next planned stop.

 

 

Concours and judging etiquette

 

 

Respect judges, tabulators, and event staff, and follow staging and photography instructions.

 

Keep the judging area clear and minimize interruptions.

 

Disputes about judging outcomes should be handled politely and directed to the head judge or event leadership.

 

 

Photography, media, and publicity

 

 

The club may take photos and video at events for the club website, publications, and social media.

 

If you prefer not to be photographed, notify the event coordinator in advance when possible.

 

Be respectful when photographing private property and personal details, including addresses, license plates, or minors.

 

 

Communications and publication guidelines

 

 

The Hoosier Horn is the official publication of the Indiana Region and is published six times per year.

 

Keep communications constructive and relevant to the club’s mission.

 

Do not use club communication channels to harass, spam, or promote unrelated commercial activity.

 

If vendor promotions are allowed, they must be pre-approved by the board and clearly identified as promotional.

 

 

Privacy and member data

 

 

Member directories, rosters, emails, phone numbers, and addresses are for club use only.

 

Do not share member contact information outside the club without permission.

 

Use blind copy (BCC) for mass emails when appropriate to protect privacy.

 

 

Sales, classifieds, and transactions

 

 

If the club hosts classifieds or facilitates sales activity, buyers and sellers are responsible for due diligence, inspections, payment arrangements, and compliance with laws.

 

The club does not guarantee condition, authenticity, title status, or representations made in listings.

 

Disputes arising from private sales should be resolved between the parties.

 

 

Safety, liability, and risk

 

 

Participation in events, tours, and gatherings is voluntary.

 

Members and guests are responsible for their own safety, vehicles, property, and insurance coverage.

 

Follow all posted rules, staff instructions, and local laws at all times.

 

 

Reporting concerns

 

 

Report concerns as early as possible to a board member or the event coordinator, including unsafe driving or behavior during tours, harassment or disruptive conduct, venue or staff conflicts, and privacy concerns related to member information.

 

 

Enforcement

 

 

The board may take action to protect members, guests, and the club, which can include warnings, removal from an event, restriction from participation, or referral to the national organization when appropriate.

 

Serious misconduct may result in suspension or termination of regional participation privileges, consistent with CCCA and regional governance.

 

 

Policy updates

 

 

These guidelines may be updated periodically to reflect venue requirements, safety best practices, and club operations.

 

The most current version should be posted on the club website or made available to members upon request.
